ABOUT THE POSITION
Project Accountant | Richmond, VA | Hybrid
VHB is seeking a Project Accountant to join our Finance team in Richmond, Virginia. This role supports client billing and project financial administration for a diverse portfolio of transportation, land development, and infrastructure projects throughout Virginia and Washington, DC. Working closely with Project Managers and Finance team members, the Project Accountant will ensure accurate, timely invoicing, maintain project financial records, support contract compliance, and assist with accounts receivable activities. This is a fast-paced, collaborative role that requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities while meeting recurring billing deadlines.
Responsibilities
- Prepare, review, and process monthly and recurring client invoices in accordance with client contracts, billing terms, and company procedures.
- Support approximately 15-20 Project Managers across Virginia and Washington, DC by providing project billing and financial administration assistance throughout the project lifecycle.
- Maintain accurate project financial records, billing documentation, and supporting files within the ERP system.
- Assist with project setup, including reviewing contract compensation structures, billing methods, project budgets, fee schedules, task codes, and project financial information.
- Review contracts to ensure invoices comply with negotiated billing requirements, client-specific formats, and contractual obligations.
- Coordinate billing activities for a variety of project types, including transportation, land development, and public infrastructure projects.
- Prepare and manage billing for government and public agency clients, including Departments of Transportation (DOT), ensuring compliance with agency-specific invoicing requirements and documentation.
- Utilize Microsoft Excel extensively to prepare, reconcile, and support complex billing calculations and DOT-related invoice documentation.
- Monitor project accounts receivable, assist with aging reports, track outstanding invoices, and coordinate collection efforts with Project Managers and clients as needed.
- Coordinate accounts payable activities related to subconsultants and vendors, ensuring proper documentation and timely processing.
- Research and resolve client billing questions, invoice discrepancies, and contract-related issues while maintaining a high level of customer service.
- Partner with Project Managers to review project financial performance, billing status, budgets, and contract requirements throughout the billing cycle.
- Support recurring four-week billing cycles by managing competing priorities, maintaining accuracy under deadlines, and ensuring invoices are submitted on schedule.
- Assist the Finance team with reporting, financial analysis, contract administration, and other accounting or project finance functions as needed.

- Ability to quickly learn new software, systems, and internal processes in a technology-driven environment.
- Excellent written and verbal communication skills with the ability to explain billing information clearly and professionally.
- Flexible, adaptable, and able to balance changing priorities in a fast-paced consulting environment.
Qualifications
- 0-4+ years of related accounting, project billing, or finance experience, preferably within the Architecture, Engineering, and Construction (AEC) industry or another project-based professional services environment.
- Associate's degree in Accounting, Finance, Business Administration, or a related field required.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Experience preparing client invoices, reviewing contract billing requirements, and supporting project financial administration.
- Experience working with ERP, project accounting, or invoicing systems required; experience with Deltek Vantagepoint is strongly preferred.
- Strong Microsoft Excel skills required, including the ability to work with formulas, spreadsheets, reconciliations, and billing support documentation.
- Experience assisting with project setup, billing terms, budgets, fee structures, and project financial data is preferred.
- Experience supporting accounts receivable activities, including invoice tracking, collections, aging reports, and payment reconciliation, is preferred.
- Strong technical aptitude and the ability to learn new financial systems and software quickly.
The base hourly range for this position is $25-35/hr. for our Richmond, Virginia offices. This offer is determined based on a number of job-related factors including internal comparators, skills, education, training, credentials, experience, scope and complexity of role responsibilities and geographic location.
